Small Business IT Guide for Rwanda (2026) — Set Up Right, Spend Less

Most small businesses in Rwanda approach IT as a series of emergencies: someone needs a laptop, so a laptop is bought. Then another, from a different seller, at a different specification. Three years later there are eleven machines, no two alike, no backups, and a spare-parts problem nobody planned for.

This guide is the alternative — a setup you can grow into, built around decisions that save money specifically because they were made early.

Start With Roles, Not People

The most common budgeting error is spending evenly across a team. Your finance lead and your receptionist do not need the same machine, and equalising the spend means overpaying for one while underserving the other.

Standardise on One or Two Models

The decision that saves the most money over five years, and the one most often skipped because its benefit arrives later.

If everyone runs the same machine: one spare charger, one spare battery and one spare SSD cover the entire office. Staff can swap machines without reconfiguration. A technician who knows one model knows all of them. When you buy your ninth laptop, you already know what you are buying.

If everyone runs something different: your spare-parts cost multiplies by the number of models, every repair is a fresh investigation, and nothing is interchangeable.

Practically: pick one mainstream model for general staff and one higher-specification model for the demanding roles. Buy those two, and keep buying those two as you grow.

This is worth asking any supplier about directly: can you keep supplying this model as we expand? A supplier holding depth in a few models can. One selling whatever arrived this week cannot.

Why Business-Class, Not Consumer

At the same price, the comparison is not close:

The refurbished business machine costs less and lasts roughly twice as long. Across a team, that difference compounds into a materially different IT budget. More detail.

The Three Things That Cost More to Skip

1. Backup

When your records live on one laptop, that laptop failing stops the business — not just an employee. This is the most expensive thing on this page to get wrong, and among the cheapest to get right.

The minimum standard: two copies, in two places.

• Cloud for documents. OneDrive comes with Microsoft 365, Google Drive with a Google Workspace account. Both sync automatically, which matters because a backup requiring someone to remember is not a backup.
• An external drive for anything large, kept somewhere other than the office.

Test it. An untested backup is a hypothesis. Once a quarter, try actually restoring a file.

2. A Spare Machine

Once you are past about five staff, hold one spare. When a laptop fails, someone keeps working while the repair happens instead of losing a week.

This is the item most small businesses skip and most regret skipping. Standardising makes it cheaper — one spare covers everyone.

3. Written Warranties, Kept Somewhere Findable

Keep a simple record: machine, serial number, who has it, purchase date, warranty end date, supplier. A spreadsheet is enough.

Without it, you will discover a machine was under warranty two months after you paid for the repair.

Security, Proportionate to a Small Business

You do not need enterprise security software. You do need these five:

Windows Security is sufficient. Built into Windows 11, free, genuinely competent for ordinary business use. Keep it on and let it update.

Install Windows updates. Security patches are the main defence, and skipping them is the most common way machines get compromised.

No pirated software. Cracked activation tools require disabling antivirus to install — that is the entire attack. The most common infection route we see in Rwanda, and the cost is business records, not just an inconvenience.

Separate accounts per person. Each employee with their own Windows login, not a shared one. When someone leaves, you disable one account rather than wondering what they had access to.

Turn on device encryption (BitLocker) on any machine leaving the office. A stolen laptop then costs you a laptop rather than your customer data.

The Setup Around the Machines

Undervalued, and cheap relative to what it returns:

Docks or USB-C hubs for desk-based staff — RWF 24,000–36,000 each. One cable for monitor, keyboard and power. Saves time daily and reduces wear on laptop ports.

Laptop stands — RWF 19,000–45,000 each. Genuine ergonomic benefit for anyone at a desk all day.

Headsets for call-heavy roles — RWF 58,000+. If staff are on client or donor calls, laptop microphones are not adequate and it shows.

One spare charger per five machines. The most commonly lost and damaged item by a wide margin.

Growing From Two to Twenty

At 1–3 people: buy well, back up to cloud, keep receipts and warranties.

At 4–10 people: standardise on your models. Add the spare machine. Separate Windows accounts per person. Start the equipment register.

At 10–20 people: add a second spare. Move to business email and cloud storage on a proper plan rather than free accounts. Plan replacement in cycles rather than waiting for failures — replacing three machines a year is easier to budget than eleven at once.

Throughout: avoid the temptation to buy the cheapest available machine each time. The cost of a mixed, unsupportable fleet arrives later, but it does arrive.
