Storage is the specification buyers think about least and regret most. Nobody notices their drive size on day one. Plenty of people notice it in month eighteen, when Windows refuses to update because there is not enough free space.
The good news: this is the easiest of all the specification questions to answer definitively, because you can measure your own usage in about two minutes.
Start With What You Actually Have Now
Before reading any further, check your current laptop or phone:
On Windows: open File Explorer, click "This PC", and look at the C: drive bar. Note how much space is used.
If you have no laptop yet: check how much space your phone's photos, videos and documents occupy, and assume your laptop will hold at least that much plus about 60GB for Windows and applications.
That number is the whole answer. Everything below is context for interpreting it.
What 256GB Really Holds
A 256GB SSD does not give you 256GB. After formatting, you get about 238GB. Then:

170GB is a lot of documents. It is not a lot of video.
Comfortable on 256GB:
- Documents, spreadsheets, presentations — thousands of them
- A few thousand photos
- Music libraries
- Coursework across a full degree
- Accounting records for a small business
- Normal software installations
Not comfortable on 256GB:
- Video files of any real quantity
- A large offline photo library at full resolution
- Software development with several large projects, SDKs and toolchains
- Virtual machines — a single Windows VM can take 40–60GB
- Games
- Large design files, CAD models or GIS datasets
The Warning Sign Nobody Mentions
An SSD that is nearly full does not just run out of space — it gets slower. SSDs need free blocks to write efficiently. Once you cross roughly 85% capacity, write performance degrades noticeably.
This means a 256GB drive is not really a 256GB drive. It is a 200GB drive with a 200GB comfortable working limit. Plan against that number, not the one on the box.

Which Do You Need?
256GB is enough if you:
- Work primarily with documents, spreadsheets and presentations
- Store photos on your phone or in the cloud
- Stream music and video rather than downloading it
- Are a student on a non-technical course
- Run standard office and accounting software
- Are willing to use an external drive for archives
Buy 512GB if you:
- Work with video in any capacity, even occasionally
- Keep a large photo library at full resolution on your machine
- Develop software — SDKs, toolchains,
node_modulesand Docker images consume space at a rate that surprises people - Run virtual machines
- Work in CAD, GIS or architectural software
- Have already filled a 256GB drive on a previous laptop
- Simply do not want to think about storage management for the next five years
Cheaper Ways to Solve a Storage Problem
If your budget will not stretch to 512GB, storage is the one specification you can fix later — unlike a soldered processor.
Upgrade the SSD. Almost every HP EliteBook and ProBook has a standard M.2 SSD that can be swapped for a larger one. This is a straightforward job and often the cheapest route to more space. Ask us whether a specific model can be upgraded and what it would cost.
Use an external SSD. A portable drive for archives, old projects and video keeps your internal drive clear. Slower than internal storage, but far cheaper per gigabyte.
Use cloud storage. OneDrive comes with Microsoft 365, and Google Drive with a Google account. Both work well for documents. Bear in mind that this depends on your internet connection and data budget — for large video files it is often not practical in Rwanda.
Move your photo library off the machine. For most non-technical users who run out of space, photos and downloaded videos are the entire cause.
The Mistake to Avoid: HDD Instead of SSD
One thing matters far more than 256GB versus 512GB: never buy a mechanical hard drive.
If a seller offers you "1TB storage" at a suspiciously low price, it is almost certainly a mechanical HDD. A 1TB HDD is worse than a 256GB SSD in every way that affects your daily experience — boot times, application launches, file operations, and reliability when the machine is knocked or dropped.
